LISTSERV RULES   

 

Welcome to the Google Groups listserv of the Newcomers & Neighbors of Short Hills & Millburn.  It is a unique and invaluable resource for our members, a place where you’ll find answers to questions like “Who do you recommend as an internist?” “Where can I find a babysitter?” “Is there a good French restaurant in the area?” or “Which local auto repair shop is most reliable? “

 

In order to ensure that the majority who use Google Groups continue to enjoy this resource to its full potential, the Executive Board have developed this set of simple rules, to streamline and simplify postings, while minimizing inbox clutter.  We have also highlighted the different options available to you for managing how and when you receive emails from the message board.

 

Options for managing daily emails from the Google Groups Listserv

1. Receive individual emails in real time

2. Receive a digest email of up to 25 emails (full text of each post) instead of individual emails

3. Received a daily abridged email (brief summary of each post) instead of individual emails

4. Bookmark our Google Groups page and read posts on the web at your convenience (this option means you will not receive any emails)

WHAT AND HOW DO I POST TO THE GOOGLE GROUPS LISTSERV?

Here are the “7 Rules to Remember” of the Newcomers & Neighbors of Short Hills & Millburn listserv both in summary and detail.  We ask that you read them carefully, refer to them regularly and follow them every day.  THINK, SEARCH, POST, COMPILE


 

“7 RULES TO REMEMBER”

 

Full details of the rules can be found on pages 3 to 5.  

 

Rule 1 - SEARCH before you post check local and national press, local websites, online search engines and finally, the Newcomers Google Groups archives

 

Rule 2 – THINK before you post posts should be careful, considered, and informative. REMEMBER WHEN YOU HIT SEND YOU ARE SENDING A MESSAGE TO OVER 500 PEOPLE.  Please do not reply to the whole group with your comments if you just need to communicate with the original author of the email.  (NOTE: if replying via Google Groups online, "Reply" is really "Reply to all" and "Reply to author" will only go to the original author of the email. DO NOT click "reply" on the message board if you don't want to send your email to the entire group.)


 

Rule 3 – DO NOT SELF-PROMOTE YOUR BUSINESS (we are not Workmom and have different rules). You may promote the business of another if you have received products or services from such person.  A member may promote a business only as personal response to a direct request on the List serv.

 

Rule 4 – DO NOT SOLICIT DONATIONS and DO NOT PERSONALLY ENDORSE POLITICS, SCHOOL, or LOCAL ISSUES do not ask for sponsorship, petition support or monetary donations and do not promote candidates directly. You can inform members that an upcoming vote, referendum, meeting or event is taking place, but please do not endorse or inject your personal view.  Please state only the facts - event, date, time and location.  If you are posting a political event, please edit out any fundraising information (including the admission cost, if applicable). People can contact you for more information or you could start you own Google Group.

 

Rule 5 - ALWAYS COMPILE your feedback email your results to the Listserv so people can search the archives for similar information, e.g. local internists, plumbers etc. A compiled response should be sent after waiting 3-5 days from the date of the query. To make it easier to search for Compilations - please put in the Subject: COMPILED [NAME OF SUBJECT].

 

Rule 6 - KEEP COMMENTS CONFIDENTIAL this message board is for members only, messages posted should not be forwarded to non members

 

Rule 7 – AVOID POSTING INTERNET SPAM, JOKES or UNSUBSTANTIATED INFORMATION


 

PLEASE NOTE: The full detailed rules are included in this document on pages 3 to 5.  We ask that you read these rules and refer to them regularly if in doubt of what to post.  Be aware that the Executive Board does reserve the right to temporarily suspend a member from the listserv if the rules are not followed (see below).


 

CONSEQUENCES FOR BREAKING THE RULES

A. At the discretion of the Listserv Coordinator and the Executive Board, a member can be temporarily or permanently removed from the Listserv if the “7 Rules to Remember” on page 3 to 5 of this document are violated.  

B. Severe misconduct can result in immediate revoking of membership, including listserv privileges, subject to the discretion of the Executive Board.

C. If a violation arises, a listserv user will be given a written warning by email from the Newcomers & Neighbors of Short Hills & Millburn Listserv Coordinator and Presidents.  If a user commits a third violation, the user can be suspended from the listserv for one month without refund of membership dues.  

D. If the user commits another violation once access is reinstated, then he or she will be removed from the listserv for the remainder of their membership term with no refund.

 

FULL DETAILED VERSION OF THE “7 RULES TO REMEMBER”

 

Rule 1 - SEARCH before you post.

 

1.1 Check local and national press, e.g. Millburn Patch, Edline, The Item, the Millburn Township website and other local websites including the local information section of www.newcomersneighbors.org , online search engines and finally the Newcomers Listserv archives.

 

1.2 If the information is timely, be sure to check your own inbox prior to passing it along, to see if someone has already forwarded the same information.

 

1.3 To search our Google message board archives prior to sending out a query go to http://groups.google.com/group/newcomersencore/topics and type a search word into the search box in the upper right hand corner. Then click on “Search this group”.

 

1.4 Tips for searching: Try typing in the word “Compiled” “Compile” or "Compilation", try multiple variations of the word you are searching for (“Plumber, Plumbers, Plumbing”), and try both broad and specific searches (“Plumber, Bathroom Renovation, Kitchen Renovation, Contractor”).

 

1.5 If no results were found and/or you want to make sure that the results are still valid, please send your request to the message board and state what search you performed and what further information you want after having performed such search.

 

Rule 2 – THINK before you post - if you don’t have anything nice, informative or of interest to over 500 people, please don’t say it here

 

2.1 When you post to the Message Board, you are occupying the time and inboxes of our 500 members.  Messages can include advice, resources, referrals, recommendations and community information.  You may wish to sell items or give them away.  (Note: seller – please email a single list if you have many items, as people do not want to receive 10 emails from one person in a week; buyer – please click on reply to author and not reply to all, if interested)

 

2.2 Examples of what does NOT appeal to our broader membership are narrow or highly niche offerings, such as a specific book recommendation, a negative comment about an experience, shop, contractor  or something obscure or unsubstantiated.

 

2.3 If you do feel strongly about sharing an issue then post “I had a problem with X. For more information, contact me directly” – do not email the whole group with a story about your bad experience, it is not fair and not wanted and it is the volunteer board members who have to deal with the potential legal ramifications if libel is committed on the listserv.

 

2.4 The Newcomers & Neighbors Listserv is not to be used as a Facebook page, Twitter page or a blog.  We ask that you kindly keep these types of posts for your friends and family

 

2.5 Please edit yourself! Although you may have a lot of information to share (and some of us are really interested), remember that whenever you hit “send” you are automatically hitting 500 inboxes. There is no “person in authority screening emails.” When you hit send, it goes. So please keep it brief and invite others to contact you directly for more information.

 

2.6 Please write a concise, descriptive subject line when sending your email.

 

2.7 Please reread your email before pressing send - read it from the receiver's perspective as someone that may not understand your style  (i.e. using all caps may seem like yelling, is it too long, does it get my message across in a succinct manner, am I using full sentences, etc).

 

2.8 ALWAYS create a new email and a new descriptive line for a new topic.  Do not “reply to all” in a previously posted message from another member with a your new topic or it will nest under the original subject line and will not be seen by most people.

 

2.9 Please do not reply to the whole group with your comments if you just need to communicate with the original author of the email.  (NOTE: if replying via Google Groups online, "Reply" is really "Reply to all" and "Reply to author" will only go to the original author of the email. DO NOT click "reply" on the message board if you don't want to send your email to the entire group.)


 

Rule 3 – DO NOT SELF-PROMOTE YOUR BUSINESS or your partner’s business.

 

3.1    You may not use the list serve to promote or advance your own business or financial interest or the business or financial interest of a family or friend either directly or indirectly. Examples of promotion include advertisements for products or services or direct solicitations of other list serve members to purchase products or services.

3.2    You may post a recommendation for a business or service that you have personally used or received as long as you have a neutral relationship with the business or service provider. Such recommendation should be in your own words, not provided by the business or service provider.

3.3    You may recommend the business of a friend or relative if it is in response to a direct request on the listserve for a recommendation for that type of business or service.

3.4    When posting to the list serve, we would appreciate members removing any promotional information and/or links from their signature block.

 


 

Rule 4 – DO NOT SOLICIT DONATIONS, DO NOT PROMOTE POLITICAL, SCHOOL, or LOCAL ISSUES

 

4.1 Please do not solicit members for sponsorship, petition support, or ask for monetary donations.

 

4.2 Political/School/Local Issues - You are welcome to advise members that an upcoming vote, referendum, meeting or event is taking place, but please refrain from making any endorsement or injecting your personal view with regard to national, state, local or Millburn school issues.  Please state only the facts  - event, date, time and location.  It’s not that we don’t care; it’s just that we don’t all agree.  Although something may be obviously RIGHT to you, there is always someone with a different point of view.  Additionally, if you are posting a political event, please edit out any fundraising information (including the admission cost, if applicable). You can have people contact you for more information. Our members do not necessarily want to be solicited for candidates they may not support. Save it for the political blogs, please!  

4.3 We are not a lobbying organization or political action committee and, therefore, will not take a stand with town government on issues such as policing, budgets, planning and so forth. There are other groups in town that serve this purpose. You may provide your contact information in case someone would like to learn more about a certain issue. If there is an issue that members feel strongly about they can create their own group on Google Groups, as many have done in the past, for example, during the school re-districting and cell phone tower conversations.

 

Rule 5 - ALWAYS COMPILE your feedback

 

5.1 Email your results by sending a compiled message to the Listserv so people can search the archives for similar information, e.g. local internists, plumbers etc.

 

5.2 A compiled response should be sent after waiting 3-5 days from the date of the query. To make it easier to search for Compilations - please put in the Subject: COMPILED [NAME OF SUBJECT].

If the information is of a sensitive nature, please edit out the names of the sender and/or other revealing details. If someone asks you not to include their response in your compilation, or to keep their name confidential, please respect that as well.

 

Rule 6 - KEEP COMMENTS CONFIDENTIAL

 

7.1 We would like to maintain this message board as an open forum.  In order to preserve this open forum, please do not forward posts from this message board to outside parties, including friends and family (unless they are members), vendors or service providers. Doing so may compromise members’ confidentiality, which would detract from the value of the message board. This message board serves the members of Newcomers & Neighbors of Short Hills & Millburn only.

 

7.2 Members can post information on behalf of a friend but must word a message such that any further conversations take place outside of the Newcomers message board by asking that people contact that person directly.

 

7.3 Remember that the purpose of the message board is to share information amongst members.

 

Rule 7 – AVOID POSTING INTERNET SPAM, JOKES or UNSUBSTANTIATED INFORMATION

 

7.1 Do not forward warnings unless verified on Snopes.com (and provide the Snopes link so that people can read the entire discussion on the subject). Please do not forward any jokes, cartoons or any unsubstantiated information, e.g. miracle cures for acne.
